Birth and Death Certificate Download in Telangana: Online Process, Correction, and Late Registration (2026)
How to download a birth or death certificate in Telangana, what to do when the record has a wrong name or date, and what to do when a birth or death was never registered on time.
How-To · Telangana Certificates
You need a birth or death certificate in Telangana and you are not sure which portal to use. Or you found the record, and the name or date on it is wrong. Or the birth or death was never registered at all. Each of these is a different problem with a different route. This guide covers all three in plain steps: how to download the certificate online, how to correct a wrong entry, and how to register late. It was last verified in October 2026. Portals and fees change, so always confirm on the official site before you pay.
- Download: search by registration number, or by name and date, on the GHMC, MeeSeva, or CRS portal, then save the signed PDF.
- Fee: small, often about Rs 25 to Rs 35 per copy. Confirm on the portal.
- Wrong entry: apply to the registrar with proof and an affidavit. A refusal becomes a legal dispute.
- Late registration: after about one year, an order from a competent magistrate is needed.
- Last verified: October 2026.
01The short answer
To download a birth or death certificate in Telangana, search the record on the official portal using the registration number, or the name and date of the event. Check the details, then download the digitally signed PDF. Anyone can usually search, and the fee is small. If the record is wrong or was never registered, you may need an affidavit, and if the authority refuses, a magistrate or court order.
Check the date first
Where the event was registered decides which portal holds the record. A birth in a Hyderabad hospital sits in a different system from a birth in a village panchayat. Start with the place of registration, not the place you live now.
02Which portal to use in Telangana
Telangana does not have one single window for every record. In practice you will meet three routes.
- GHMC portal: for births and deaths registered within Greater Hyderabad. See bnd.ghmc.gov.in.
- MeeSeva: the state citizen-services channel, used for municipal and panchayat registrations across Telangana. See ts.meeseva.telangana.gov.in.
- National CRS portal: the central Civil Registration System, run under the Registrar General of India. Newer records are being added to it. See crsorgi.gov.in.
If you do not know where the event was registered, try the GHMC portal for Hyderabad events, and MeeSeva for the rest of the state. If neither shows the record, ask the local registrar (the municipal office or gram panchayat secretary).
03Steps to download a certificate online
The steps are similar on every portal. Screens differ, but the order does not.
- Collect the details. Keep the registration number if you have it. If not, keep the full name of the child or the deceased, the date of the event, the place, and the parents’ names.
- Open the right portal. Use the GHMC, MeeSeva, or CRS site from the list above. Type the address yourself. Do not use a random link from an advertisement.
- Choose the certificate type. Select Birth or Death, then the search option: by registration number, or by name and date.
- Search and match. Pick the correct entry from the results. Check the name, date, place, and parents’ names against your papers.
- Pay the fee if asked. Many portals charge a small fee per copy. Keep the payment receipt.
- Download the PDF. The certificate is a digitally signed PDF. Save it and print it. A printed copy of a digitally signed certificate is generally accepted, but confirm with the office asking for it.
If the search shows nothing, do not assume the event was not registered. Try spelling variants, the mother’s name, and a date range of a few days. Names are often entered with a different spelling than the one used today.
04Fees at a glance
| Certificate | Where | Indicative fee | Note |
|---|---|---|---|
| Birth (Hyderabad) | GHMC portal | About Rs 25 per transaction, Rs 5 per extra copy | Confirm on the portal |
| Birth (other municipal areas) | MeeSeva or municipal office | About Rs 35 plus postal charges where applicable | Confirm at the centre |
| Late registration of birth | Local registrar | About Rs 35, plus Rs 5 for each extra year of delay | Needs permission or order |
| Death | GHMC, MeeSeva, or CRS | Similar small fee per copy | Confirm on the portal |
These figures come from public guidance and can change. Treat them as a guide only, and pay only on the official site.
05Correcting a wrong name or date
A wrong spelling, a wrong date of birth, or a missing parent’s name can block a passport, school admission, or a property claim. The route depends on how big the mistake is.
Step 1: Apply to the registrar
Start with the registrar who holds the record. You usually file a written application with proof, such as the hospital record, school record, or an ID. For a name change or a fix that the registrar will not accept on papers alone, you are often asked for an affidavit. See how a name change affidavit is drafted for the usual format.
Step 2: Keep every proof
Attach the original certificate, an ID of the applicant, and the document that shows the right entry. Ask for a written acknowledgement.
Step 3: If the registrar refuses
This is where a simple form turns into a legal dispute. A refusal, or a long silence, may need an appeal to the higher registration authority or an approach to the High Court by writ. The right path depends on the facts and on the rules in force, so a local advocate should confirm it.
Use a short checklist before you escalate: Is the error clerical or a change of fact? Do you have documents older than the error? Was the refusal in writing? Courts look at these points first.
06Late or delayed registration
The Registration of Births and Deaths Act, 1969 asks families to report a birth or death within a fixed time, generally 21 days. Reporting later is still possible, but it gets harder with time.
- Within the normal period: free or a small standard fee.
- After the period, up to 30 days: registration with a late fee.
- After 30 days, up to one year: registration with the written permission of a designated officer, plus a late fee and an affidavit.
- After one year: an order from a competent authority, such as an executive magistrate, is needed before the registrar can enter the event.
The Act has been amended, and a further Bill on tougher late-registration rules has been discussed. So confirm the current rule before you file.
What you usually need
- An affidavit stating the facts of the birth or death and the reason for delay.
- Proof such as a hospital record, school record, or two independent affidavits for events that happened long ago.
- An identity and address proof of the applicant.
- A non-availability certificate from the registrar, if it is asked for.
If the magistrate or authority rejects the application, you have a real dispute. You may have to appeal or file a petition, and then the order and the next hearing date become important. Do not let that run without tracking it.
07Death certificates in Telangana
The download steps for a death certificate are the same as for birth. Use the registration number, or the name of the deceased and the date of death. Death certificates are often needed for bank claims, insurance, mutation of property, and pension. Property cases may also need an encumbrance certificate to check the title.
Common problems are a wrong spelling of the name, a wrong date, or a death that was never registered because it happened at home. The correction and late registration routes above apply in the same way. For a very old death, expect the magistrate route.
08Where Claw fits
Most people only need the download. Claw is relevant only if your correction or late registration is refused and the matter goes to a court or magistrate.
Claw is an all-in-one legaltech platform for Indian advocates, law firms, and corporate legal teams, combining AI-based case search, an AI legal assistant (Legal GPT), case management, and compliance automation across all Indian courts and tribunals.
In that case, you can create a free Claw account (the free plan is for individual advocates) to track the matter and any court order by party name. Claw tracks cases across 8200+ courts, and its case search covers 30 crore+ judgements with results in under 5 seconds, which helps an advocate find earlier orders on similar correction or late-registration disputes. If you are not a lawyer, ask your advocate to set this up for you. For a plain download, you do not need Claw. Use the official portal. See clawlaw.in.
