Birth and Death Certificate Download in Punjab: Online Process, Correction, and Late Registration (2026)
How to download a birth or death certificate in Punjab online, what to do when the record is wrong, and what to do when a birth or death was never registered in time. Last verified October 2026.
How-To Guide · Punjab Civil Registration
You need a birth or death certificate in Punjab, and you want it without standing in a queue. For most people the download is simple. The trouble starts when the name or date on the record is wrong, or when the birth or death was never registered at all. This guide covers the normal online download, how to correct an entry, and what late registration needs. It is last verified for October 2026, and the exact portal screens and fees can change, so check them on the official site before you pay.
- Download: search by registration number, or by name and date, on the official Punjab services portal or crsorgi.gov.in, then save the digitally signed PDF.
- Wrong record: apply to the Local Registrar with an affidavit and proof. A refusal can turn into a legal dispute.
- Never registered: late fee within 30 days, permission and affidavit within one year, a first class magistrate’s order after one year.
- Fees: small, but confirm the exact amount on the official screen.
01The short answer
To download a birth or death certificate in Punjab, search for the record on the state civil registration or e-District service portal using the registration number, or the name and date of the child or the deceased. Check the details, pay the small fee if asked, and download the digitally signed PDF. Anyone with the details can usually apply. If the record is wrong or was never registered, you may need an affidavit and, if the authority refuses, a magistrate’s order.
02Where to download in Punjab
There are two online routes, and which one holds your record depends on where and when the event was registered.
The Punjab state service portal
Births and deaths registered through Sewa Kendras, municipal bodies and gram panchayats are generally served through the Punjab government’s online citizen services (eSewa Punjab). Start from the official state site at punjab.gov.in and follow the link to the services portal, so you do not land on a lookalike site.
The national CRS portal
The Registrar General of India runs the Civil Registration System at crsorgi.gov.in. Records entered through the CRS, including many hospital-reported events in recent years, can be searched and printed there.
Use only official sites
Many private sites charge extra to "get" a certificate that the government portal gives for a small fee. Type the address yourself or start from the state government website. Never pay a stranger to download a certificate.
03Step-by-step: how to download the certificate
- Collect the details. For a birth: child’s name (or the parent’s names if the child is not yet named), date of birth, place of birth. For a death: name of the deceased, date and place of death. If you have the registration number, keep it ready.
- Open the official portal. Use the Punjab services portal or the CRS portal described above.
- Choose the service. Pick "birth certificate" or "death certificate" and the search or download option.
- Search. Enter the registration number, or the name, date and place. Use the spelling that was used at the time of registration, because the search often needs an exact or close match.
- Check every detail. Look at the name, date, place, and the parents’ names. Errors are far easier to fix early than after you have used the certificate somewhere.
- Pay the fee if shown. Fees for an extract or a certified copy are small. Confirm the amount on the portal.
- Download the PDF. The certificate is digitally signed. Save it and print a clean copy.
If the search returns nothing, do not assume the event was never registered. Try other spellings, the parents’ names, and the nearest municipal body or panchayat. If it truly is not there, go to the late registration section below.
04Certificate types, where to apply and the usual fee
| Need | Where | Usual fee |
|---|---|---|
| Download existing birth certificate | Punjab services portal or crsorgi.gov.in | Small online fee, confirm on portal |
| Download existing death certificate | Punjab services portal or crsorgi.gov.in | Small online fee, confirm on portal |
| Correct a name or date | Local Registrar (municipal body or panchayat) of the area | Small fee, confirm with the Registrar |
| Late registration, 21 to 30 days | Local Registrar | Late fee, a few rupees; confirm |
| Late registration, 30 days to 1 year | Local Registrar, with written permission and affidavit | Higher late fee; confirm |
| Late registration, after 1 year | Order of a first class magistrate, then the Registrar | Court and affidavit costs; confirm |
The fees above are deliberately not given as exact numbers, because Punjab revises them and online facilitation charges are added on top. Always read the final amount on the official screen.
05If the record is wrong: how correction works
A wrong child’s name, a wrong date of birth, a spelling error in a parent’s name, or a wrong date of death are common. Under the Registration of Births and Deaths Act, 1969, entries in the register can be corrected if they are clerical or formal errors, or if they were made fraudulently or improperly.
What you usually need
- A written application to the Local Registrar who holds the record.
- An affidavit stating the correct details and why the entry is wrong. For help with the wording, see the name change affidavit format.
- Proof of the correct detail, such as a school record, hospital record, Aadhaar, or the parents’ identity papers.
- A copy of the existing certificate.
A correction is not a name change
Fixing a mistake the office made is a correction. Choosing a new name later is a different step, usually done by affidavit and a gazette notice. Do not mix the two, or the office may refuse your application.
Keep proof that you applied: the receipt, the date, and the name of the officer. You will need it if the application sits unanswered or is refused.
06If it was never registered: late (delayed) registration
A birth or death is meant to be registered within 21 days. If that window is missed, the rules get stricter as time passes. In broad terms, under the 1969 Act:
- After 21 days but within 30 days: the Registrar can register it on a late fee.
- After 30 days but within one year: it needs the written permission of the prescribed authority, an affidavit, and a late fee.
- After one year: it needs an order from a first class magistrate. You file an application with an affidavit and supporting proof, the magistrate decides, and only then can the Registrar make the entry.
Typical proof includes a hospital or doctor’s record, school or vaccination records, a cremation or burial receipt for a death, and identity papers of the family. Punjab publishes its own delayed-registration instructions on the state website, so follow the current checklist.
Plan for time
A magistrate route can take weeks or more. If you need the certificate for a visa, school admission, insurance claim or inheritance, start early and keep every receipt.
07When a refusal becomes a legal dispute
Most applications are routine. A few are not. The matter becomes a real legal dispute when:
- The Registrar refuses a correction, or refuses to register a late event.
- The family disagrees about the correct name, date or parentage.
- The certificate is needed for property, succession or an insurance claim and someone objects.
- The magistrate asks for more proof, adjourns, or rejects the application.
At that point you are no longer filling a form. You are in a proceeding. Keep the refusal in writing, ask for the reason, and speak to a local advocate about the right forum and remedy. Where a death certificate feeds into a property or title question, our guide to the encumbrance certificate explains the related record.
08Where Claw fits
The download and the form steps above do not need Claw. Claw matters only if a correction or late registration is refused and the matter goes to a court or a magistrate.
Claw is an all-in-one legaltech platform for Indian advocates, law firms, and corporate legal teams, combining AI-based case search, an AI legal assistant (Legal GPT), case management, and compliance automation across all Indian courts and tribunals.
If that happens, you can create a free Claw account to track the matter and any court order by party name. Claw covers 9,102 forums for case tracking, and its judgement search covers over 30 crore judgements with results in under 5 seconds, which helps an advocate find past orders on similar corrections. Claw has a free plan for individual advocates. It does not use customer case documents to train AI models. Visit clawlaw.in to start.
