How to download a birth or death certificate in Karnataka, what to do when the record is wrong, and what changes when a birth or death was never registered on time. Last verified October 2026.

How-To · Karnataka Civil Registration

You need a birth or death certificate in Karnataka for a school admission, passport, bank claim, insurance or property transfer, and the portal either shows no record or shows the wrong name. To download a birth or death certificate in Karnataka, search the state civil registration portal (eJanMa) or Seva Sindhu by registration number or by name and date, check the details, and download the digitally signed PDF, usually for a small fee of about Rs 5. If the record is wrong, you need a correction with an affidavit. If the event was never registered, you may need an order from a magistrate. This guide covers all three.

The short answer
  • Download: search eJanMa or Seva Sindhu by registration number or by name and date, check the details, and download the digitally signed PDF (about Rs 5).
  • Wrong record: apply to the registrar with an affidavit and proof. If refused, it becomes a legal dispute.
  • Never registered: late registration needs permission or an order, and the rules changed on 1 October 2026.
  • If refused: create a free Claw account to track the matter and any court order by party name.

01Why a simple download goes wrong

Downloading a certificate should take five minutes. It fails for three common reasons, and each one needs a different fix.

The record exists, but you cannot find it

Names are spelt in different ways, the date is entered in a different format, or the event was recorded in a different district from where you live now. Searching by the registration number is the most reliable way, because it does not depend on spelling.

The record exists, but it is wrong

A wrong spelling, a wrong date or a wrong parent name will cause trouble later with a passport, a bank or an insurer. This needs a formal correction, not a fresh download.

The birth or death was never registered

Many older births and some deaths were never recorded. There is no certificate to download. The law sets time limits for registration, and after those limits you need permission or an order before the event can be registered.

A certificate download is a lookup. A correction or a late registration is a legal process, and it needs the right paper and the right authority.

02Which portal to use in Karnataka

Karnataka records births and deaths through its own online system, and there is also a national portal. Which one holds your record depends on when and where the event was registered.

  • Karnataka eJanMa: the state civil registration system. Use it for most Karnataka records. Public sources show the site as ejanma.karnataka.gov.in.
  • Seva Sindhu: the state citizen services portal, where eJanMa-based certificates can also be requested and downloaded. See sevasindhuservices.karnataka.gov.in.
  • National CRS portal: the Civil Registration System run by the Registrar General of India, at crsorgi.gov.in. Some recent records, especially hospital registrations, may sit here.

If one portal shows nothing, try the other before you assume the record does not exist.

03Steps to download a certificate online

The steps are the same for a birth and a death certificate. Keep the registration number, the full name and the date of the event ready.

  1. Open the portal. Go to eJanMa or Seva Sindhu and choose the birth or death certificate service.
  2. Search for the record. Enter the registration number if you have it. If not, search by the name of the child or the deceased, the date of birth or death, and the district or place of registration.
  3. Check the details. Read the name, date, place and parent names carefully. If anything is wrong, stop here and see the correction section below.
  4. Pay the fee. Pay the small online copy fee if the portal asks for it.
  5. Download the PDF. Download the digitally signed certificate and save it. Print it when an office asks for a paper copy.

If the portal gives you an acknowledgment number instead of an instant file, note it down and check back. Public guides mention a wait of a few days in some cases.

Who can apply

The registrar issues certified copies to people who apply for them. In practice parents, family members and legal heirs apply for birth and death records. Keep an ID proof handy in case the office asks for it.

04Certificate types, where to get them, and fees

The usual fee for a certified copy is small. Late fees and correction fees are different and are set by the state rules.

Do not pay anyone who promises a faster certificate. The online copy fee is small, and the legal steps below are the part that takes time.

05Correcting a wrong name, date or detail

A correction is a request to the registrar to change an entry that was recorded wrongly. It is not the same as changing a name later in life by choice.

What you usually need

  • A written application to the registrar who holds the record.
  • An affidavit that states the correct detail and why the entry is wrong. See our guide on the name change affidavit format for how such affidavits are drafted.
  • Proof of the correct detail, such as a hospital record, a school record, or parent ID.

If the registrar refuses

If the registrar rejects the correction, it becomes a real legal dispute. The usual route is to challenge the refusal before the proper authority or approach the court with the documents. Keep the rejection letter, because it starts your timeline and shows what the authority objected to.

Property and loan matters often depend on correct civil records. For a related document that people also need in Karnataka, see how to download an encumbrance certificate.

06Late or delayed registration

The law sets a time limit for registering a birth or death. The base law is the Registration of Births and Deaths Act, 1969, and Section 13 deals with registration after the time limit.

The usual time limits

  • Within the statutory period: registration is free of any late fee. In Karnataka the period is 21 days.
  • Soon after, up to 30 days: registration on payment of a late fee.
  • After 30 days but within one year: written permission of the prescribed authority, a fee and an affidavit.
  • After one year: an order is needed. Earlier this was an order from a First Class Magistrate.

Law changed on 1 October 2026

The Registration of Births and Deaths (Amendment) Act, 2026 came into force on 1 October 2026. Press reports say events reported between one and two years late now need an order from a District Magistrate, Sub-Divisional Magistrate or an authorised Executive Magistrate, and events reported more than two years late need an order from a Judicial Magistrate of the first class. Confirm the exact text and the Karnataka rules before you file.

What the process looks like

  1. Collect proof that the event happened, such as hospital records, a school record, a cremation or burial receipt, or statements of witnesses.
  2. Prepare an affidavit that states the facts of the birth or death.
  3. Apply to the local registrar. Where an order is needed, apply to the competent authority or magistrate named for your delay period.
  4. After the order, take it to the registrar, who registers the event and issues the certificate.

If the authority refuses, or the matter goes to a court, it becomes a case with hearing dates and orders. You need to track those dates and read the order carefully, because a missed date can set the process back by months.

In that case you can create a free Claw account to track the matter and any court order by party name. Claw covers 9,102 forums and 30 crore+ judgements, and returns results in under 5 seconds. Claw has a free plan for individual advocates, and paid plans for teams and enterprises. Lenders and banks that watch many such files can read about litigation portfolio monitoring.
