Birth and Death Certificate Download in Andhra Pradesh: Online Process, Correction, and Late Registration (2026)
How to download a birth or death certificate in Andhra Pradesh, what to do when the record is wrong, and what to do when the birth or death was never registered.
How-To Guide · Andhra Pradesh · Civil Registration
To download a birth or death certificate in Andhra Pradesh, search for the record on the state MeeSeva portal or the national CRS portal using the registration number, the name and the date, check the details, and download the digitally signed PDF. Anyone with the details can usually apply, and the fee is small or nil for a simple download. But if the name or date on the record is wrong, or the birth or death was never registered, you will need an affidavit and, if the authority refuses, an order from a court or magistrate. This guide covers all three paths. Last verified October 2026.
- Download: search the record on the Andhra Pradesh MeeSeva portal or crsorgi.gov.in, verify, and save the digitally signed PDF.
- Wrong entry: file an affidavit with proof and apply to the local registrar. A refusal becomes a legal dispute.
- Never registered: within 30 days a late fee; within one year written permission; after one year a First Class Magistrate order.
- Fees: small and they change, so confirm on the portal.
01Where Andhra Pradesh birth and death records live
Births and deaths in India are registered under the Registration of Births and Deaths Act, 1969, and each state adds its own rules. In Andhra Pradesh, the local registrar (a municipality, a gram panchayat or a hospital-linked registrar) records the event. The record is then available online in one of two places.
- The state MeeSeva portal (ap.meeseva.gov.in). This is the main route for most Andhra Pradesh applications, including late registration requests and application-based certificates.
- The national Civil Registration System (crsorgi.gov.in). Newer registrations, especially those made through hospitals, can be searched here using the registration number, date of birth and district.
Older records from before online registration may not appear on either portal. In that case you apply to the local registrar who holds the register.
02Step by step: how to download the certificate
Keep these ready first: the registration number if you have it, the full name, the date of birth or death, the place (village, town or hospital) and the district. A mobile number is needed for the one time password.
- Open the right portal. Start with the MeeSeva portal for Andhra Pradesh. For a recent hospital registration, try the CRS portal.
- Choose the service. Select Birth Certificate or Death Certificate. On MeeSeva this sits under the municipal administration services.
- Search for the record. Enter the registration number, or the name and the date, with the district. Try spelling variants if nothing shows up.
- Verify the details. Check the name, the parents’ names, the date and the place. Do this before you download. A small spelling mistake now becomes a long correction process later.
- Pay the fee, if shown. A simple download may carry a small service charge. Keep the payment receipt.
- Download the PDF. The certificate is a digitally signed PDF. Save it and print it on plain paper. The digital signature is what makes it valid.
If you need the certificate for a property matter, you may also need other records. See our guide on how to download an encumbrance certificate.
Who can apply? Under the Act, any person can ask for a certified extract of an entry, subject to the prescribed fee. In practice the parent, the family member or the legal heir applies, because they know the details needed to find the record.
03Certificate types, where to apply and the usual fee
| Certificate / service | Where | Usual fee | Note |
|---|---|---|---|
| Birth certificate download (registered record) | MeeSeva or CRS portal | Nil or small service charge | Digitally signed PDF |
| Death certificate download (registered record) | MeeSeva or CRS portal | Nil or small service charge | Needed for claims and succession |
| Name correction or entry correction | Local registrar, with affidavit | As prescribed | Refusal can lead to a court case |
| Late registration within 30 days | Local registrar | Late fee | No special permission needed |
| Late registration after 30 days, within 1 year | Prescribed authority | Fee, plus affidavit | Written permission required |
| Late registration after 1 year | First Class Magistrate order, then registrar | Fee as prescribed | Order must come first |
Fees change and differ by service. Treat the table as a guide and confirm the amount on the portal at the time you apply.
04If the record is wrong: correction of name or date
Mistakes are common. A name spelled wrongly, a wrong date of birth, a missing first name, or a parent’s name entered incorrectly can all block a passport, a school admission, a pension or an inheritance claim.
How a correction normally works
- Download the existing certificate and mark exactly what is wrong.
- Prepare an affidavit stating the correct facts and why the error happened. A sworn declaration on stamp paper is the usual form. See our guide on the name change affidavit format.
- Collect proof: hospital records, school certificate, parents’ identity papers, or any early record that shows the correct entry.
- Apply to the local registrar who holds the register, with the affidavit and proof, and pay the prescribed fee.
- The registrar checks and, if satisfied, corrects the entry and issues a fresh certificate.
The Act lets the registrar correct clerical or formal errors. A change of substance, such as a different name for the child, a different date, or a change in parentage, is treated more carefully and may need more proof.
When the correction is refused
If the registrar refuses, the matter stops being a form and becomes a genuine legal dispute. Your usual route is a representation to the higher registration authority, and then a civil or writ remedy before the competent court. Courts have dealt with such disputes, and the outcome depends on the evidence you bring. At this stage take legal advice from an advocate in Andhra Pradesh.
05If it was never registered: late or delayed registration
A birth or death should be reported within the time set by the Act, which is 21 days for both. If that period is missed, the route depends on how late you are.
- After 21 days but within 30 days: the event is registered on payment of a late fee.
- After 30 days but within one year: the registrar needs the written permission of the prescribed authority. You pay the prescribed fee and file an affidavit.
- After one year: the event can be registered only on an order of a First Class Magistrate, who first checks that the birth or death really happened. You then take the order to the registrar and pay the fee.
For the magistrate route, prepare the application with an affidavit and strong supporting proof. For a birth, that can be a hospital or school record, an immunisation card, or statements of the people present. For a death, it can be a cremation or burial receipt, a medical record, or a statement from neighbours and the local village officer. The magistrate may ask the police or the local registrar for a report before passing the order.
Start early. The longer the gap, the harder it becomes to find proof, and the more likely the application is questioned.
06Common problems and quick fixes
- Record not found: try the other portal, spelling variants, or the parent’s name. If it still fails, ask the local registrar for a manual extract.
- Wrong name, found after download: do not use the certificate for important filings. Start the correction first.
- Name only as “Baby of”: many older birth records have no first name. Adding the name later is a separate application, usually allowed within a set period and with proof.
- Different names in different papers: fix the root document first, then update the rest.
- Court order exists but the registrar has not acted: send a copy of the order with a written request and keep the receipt of delivery.
Other legal checks
Certificates are often needed for borrowing, succession or property. If you are a lender or a business checking a person before giving credit, see how to screen a borrower for litigation. For name or brand disputes, see well-known trademarks under Rule 124.
07Where Claw fits
Most people never need a lawyer for a plain download. Claw becomes useful only if a correction or a late registration is refused and the matter moves to a court or a magistrate.

Its case search covers 30 crore+ judgements with results in under 5 seconds, which helps an advocate find earlier rulings on correction and late registration. Enterprise and team plans are paid. Claw does not use customer case documents to train AI models.
If a correction or late registration is refused, create a free Claw account to track the matter and any court order by party name. For a comparable alternative in the tracking space, see PracticeLeague alternatives.
